The short version
Coolbot is made for families. We collect as little as possible, we never sell data, and we never knowingly collect personal information from children.
What we collect
- Subscriptions: payments and delivery emails are handled by Gumroad. We receive your email address so we can send you issues. See Gumroad’s privacy policy for their handling.
- Coolbot’s story finder: messages are processed to generate a reply and are not used to identify anyone. Coolbot never asks for names, schools, addresses, or photos. Please tell kids not to share them. If a message looks like a disclosure of harm, the page shows helpline information instead of a reply, and that message is not sent to the AI service at all.
- This website: no advertising trackers, no analytics cookies.
Kids’ artwork and parental consent
Artwork can only be submitted by a parent or guardian, who completes the consent form on our send a drawing page and signs it by typing their full name. Nothing is published automatically — a person reviews every submission first.
How artwork is displayed. By default artwork carries no name at all. If the parent chooses it, we show at most a first name, a last-name initial and an age — for example “Maya P. (9)” — and nothing more. Never a full surname, school, town, or anything else that could identify a child. We use artwork only in the gallery on coolbot.ca: not in advertising, not on merchandise, and not in anything we sell.
What we store. The image, the child’s age, the child’s first name and last initial only if you chose a label that uses them, the display choice, the parent’s typed name and email, which permissions were given, and the date and time. We keep this consent record for as long as the artwork is published, as evidence we were permitted to publish it. We also store a one-way hash of the submitting IP address so two submissions can be compared if a consent is ever questioned — we do not keep the address itself.
Withdrawing consent. Email hello@coolbot.ca at any time, with no reason needed. We take the artwork down promptly and within 30 days at the outside, and you can ask us to delete the image and the consent record along with it.
